The Road Map to Implementation

This last communication will attempt to explain what needs to happen and by when in a little more detail in order to implement the Governance board establish the two standing committees. So let’s try to understand this together.

First, we want to make sure that the community has a good understanding of what will take place and more importantly the why behind it. This was the reason for this and the previous 6 communication articles. We want to take June and July to allow the community to process and understand to a level they are both comfortable with their understanding and trust in the leaderships guidance in getting us there. Please make an effort to understand so you can support us in the process.

Second, we will be presenting a new set of by-laws for our community that support the new structure in early August. At the same time, we will need to establish a new, but temporary nomination chair to bridge the transition period until we can have a newly elected nomination chair. This temporary chair will also have to solicit and obtain a nomination team comprised of knowledgeable persons from both the Emmaus and Chrysalis communities. This team will have quick work to do to work with the existing board to establish candidate vetting procedures, solicit candidates for Governance Board and Sub Committee positions by election times. We hope to have the new temporary chair and nomination committee established by the end of August.

Third, we will have to obtain approval of the new by-laws from the community by the end of September so elections can be held supporting the new structure. To follow the current by-laws, we could need up to 60 days so you can see why we need to move quickly.
Fourth, we will need to elect the new Governance board in October. We hope to have at least two people nominated for each of the following positions for the community to vote on.

Positions that will be elected for a 3-year term are as follows:
Vice-Chair (former assistant community lay director), Treasurer, Team Selection Chair for lay positions and the Board (Community) Spiritual Director from the clergy.

Positions that will be elected to a 2-year term are as follows:
Chair of the Board (former community lay director), Secretary, Fourth Day Chair for the lay positions and the Emmaus Spiritual Chair from the clergy.

Positions that will be elected to a 1-year term are as follows:
Past Chair (needs to be an experienced previous community lay director to provide council and mentorship), Agape Chair for the lay positions and the Chrysalis Spiritual Chair from the clergy.

Since the Governance board is all brand-new positions, we will need to elect all three classes at the same time and that is why there are 1-, 2- and 3-year terms. Those with one-year terms will be the positions up for election next year, those with two-year terms will be up for election the following year and at that point, the new structure will be well established.

Fifth, we will hold our sub-committee elections in November. Since there is an established sub-committee for each already, we will hold elections for the following three-year terms for both committees:

Vice-Chair, Secretary, Registration Chair and Maintenance Chair for the lay positions and an Assistant Spiritual Chair for Emmaus sub-committee only.

After these positions are elected, we will then fill the following positions from existing committee members with two years of service left:
Chair, Communication Chair, and Kitchen Chair for the lay positions and an Assistant Spiritual Chair for Chrysalis.

And with one-year of service left:
Past Chair, Transportation Chair and Music/AV Chair for the lay positions and an Assistant Spiritual Chair for both Emmaus and Chrysalis.
I know this is a lot to digest and understand so we will do our best to explain and help the community to understand the road map to implement this new structure.
